Information technology (IT) applications are now being retired and replaced by newer ones that are more efficient, user-friendly, and cost effective. This is a good sign of the growing service organization that the business has been striving to achieve. Do you have legacy systems that are not used productively anymore, but you can not shut them down because you still need to retain the data? Here comes Application retirement term. What is Application retirement ? Application retirement is the process of shutting down redundant or obsolete business applications. It is also Known as applications decommissioning. Although the application will still have access to old data, which is no longer needed by the organization. It is important to note that application retirement does not affect a company's primary systems, applications, or data; instead, it does affect secondary systems and applications such as No Longer Required (NLR) software. While the business may lose the ability to perform certain tasks during this transition, this allows for much-needed cost savings and resources. Benefits of Applications Retirement The benefits of IT application retirement are many. One benefit is that it can helps to reduce the overall cost of a company’s IT budget. Application decommission helps to eliminate the maintenance, infrastructure, and licensing costs associated with IT applications that are not being used anymore and You can use that funds for other purposes which are more important for the business. Another advantage is that it can help organizations to be more agile in their business practices. It supports structured, unstructured and semi-structured data and content. It enables you to securely switch off all legacy systems in compliance with legal requirements so they won't have to worry about any data leakages or security breaches. Application Retirement Process The application retirement process is an important part of the life cycle of your software. Here are the steps that you should follow to complete a successful software decommission. 1) System analysis The initial step is the system analysis. The purpose of the system analysis is to enable us to estimate a time frame for archiving your legacy system and calculate costs, on the basis of which you can make your decision and start planning. The result of the system analysis is always a fixed price offer, which you can accept or reject. In general, the analysis takes less than two hours. The system analysis process is divided into two parts: Technical part for clarification and Business part for clarification. for more info System analysis process specification about please click below link. https://avendata.com/application-decommissioning/ 2) The archiving project After the system analysis has been successfully done, you ask yourself whether you want to start the project with us. Once you have decided for the project, there will be a kick off meeting in which your team will get to know our experienced project manager. 3) User acceptance test - project handover The last step is acceptance from your side. As you do this, you will test samples, check the certificate of completeness and documentation. Furthermore, we would be happy to provide you with all of our samples. And so you have an extensive set of test data. If everything is correct so far, you will receive an acceptance report from us and you can shut down your system, since all the necessary information can then be reviewed within the ViewBox and properly archived. From that moment on, the risks of the legacy system are gone and you start saving money (maintenance/electricity/personnel costs…). Even after acceptance, we are certainly still there for you through our support services. Our support is provided, for example, when an audit is announced, or if further training is required, or due to a change of employees. What is a carve out?Why it is so important? - AvenDATA - IT-Application-Decomissioning

A carveout is a subsidiary of a larger company, which is legally and operationally independent from the parent company. A carveout is a business unit that is separate from the main company. It can be set up as a subsidiary, a joint venture, or an independent company. Equity carve-out is a provision of an agreement that specifies the percentage of the company that will be owned by the investor. The equity carve-out can be either fixed or variable, depending on what is negotiated between the parties. Why is carve-out important? A carveout can be beneficial to the parent company in many ways. For example, it can help to reduce risk by separating it from the core business. The parent company will also have more control over its management and operations. Carve-out allows current companies to keep awareness on their activities as well as helps newly formed companies to stabilize themselves in new markets. Companies which adopt an equity carve-out method of restructuring can save capital gains tax as compared to companies which go for full spin-off. In any corporate Carve out, Archiving data without the help of the right tools can be a very time-consuming and difficult task. This can be even worse if you are a large company with large amounts of data. Archiving legacy data to tape can be both costly and time-consuming as well. Here we will look at different aspects of complete archiving with an IT carve-out. How to conduct IT carve-out? The IT carve-out or data carve-out is the technical process of completely archiving old IT systems into a new and modernized platform. As a matter of fact, there is not a great difference between this procedure and complete archiving in terms of the procedure and technical processes. Carve outs from existing systems such as SAP, Oracle, Navision require a very deep understanding of database structures and database models. A carve out is always a technical challenge, which AvenDATA has been facing for many years. The backbone here is our experienced SQL Developer department consisting of about 50 people who deal exclusively with database models and their challenges on a daily basis. If you are looking for a company that understands the carve out of company codes, clients or plants or similar, then you have come to the right place. Carve Out is quasi the little brother of complete archiving. This means that the carve out is very similar to complete archiving in terms of the procedure and technical processes. In this respect, it was not surprising that after a few archiving and shutdowns of legacy systems, customers approached us with the request to also perform corresponding carve outs. We offer you a comprehensive know-how in the separation of ERP systems. Within the scope of carve-outs we can clearly separate clients and accounting areas within the ViewBox. Eventual legal conflicts concerning the provision of the data prior to sales in the case of sales are thus avoided. ViewBox solutions can be provided in the form of an on-premise supply or as a secure cloud hosting solution.

Document Management is now Simplified - AvenDATA - IT-Application-Decomissioning

The View box provides documentation functionality (Documentation Library) which helps our clients to securely manage and share their documents within the organization based on rights, system, language, and permission. Admin right users can upload different types of documents, like zip, doc, jpeg, pdf, csv, etc. Also, the admin can restrict the visibility of documents based on the selected permissions. Standard users won’t be able to upload documents but can preview or download the shared documents. In order to access and organize the documents in a logical way, view box stores the documents in folders and sub-folders. Standard users can preview and download the uploaded files. Documentation dashboard helps the client to search the files effectively because of tree structure arrangement. Documents are arranged in collapsible ways, so it is easy to access and manage the documents. The documentation library not only allows sharing of documents with standard users but also with other Admins as well. Filtering for relevant documents is so easy because of search, pagination, and nested folder structure. Also, with that, files are also managed based on languages. Also, for easy uploading of documents, it provides the ability to bulk upload. Admin at a time can upload around 10 documents, only restriction is on size of file. Each file size should be less than or equal to 100 MB. The review option is only for pdf files, so users can preview all the pdfs in the view box itself. Rest all the documents can only be downloaded. Admin users also can remove the document at any point of time. They must go to the documentation dashboard and authenticate themselves. After verification, admin users can delete the uploaded files and can also upload new files from the dashboard. On the dashboard, admin can also view all the details of the files like permission type, language, upload date, time, rights, etc. Users won’t be able to see the documentation functionality if no document is shared with them. In that case, the document section won’t be visible. While for admins, the documentation function will always be visible and accessible. To give a brief about the tree structure documentation, we have a two-level hierarchy system where on the first layer there will be folders and on the second level there will be sub-folders. While uploading documents, users will have to create a new folder or choose from the existing folder. After the sub-folders next, the user can select from the existing sub-folder of the selected folder if they are available or else create new sub-folders. After selecting or creating folders and subfolders, then admin can select the permissions, rights, and files. As mentioned earlier, users can upload 10 files at a time. After selecting the files, the documents get stored and, based on permission, rights will be visible to all the other users. Standard users will only have rights of viewing and downloading the uploaded files only if they are shared with that user. Apart from that, standard users cannot access any other functionality of the documentation library.

Save Time with Viewbox

There can be a requirement where a company requires all the documents and the data available in a View from the archiving system. The client will have to go through the hectic process of opening different views and downloading documents one by one. Also, they download excel separately. This will take a lot of time and we know time is more precious than money.
