The View box provides documentation functionality (Documentation Library) which helps our clients to securely manage and share their documents within the organization based on rights, system, language, and permission. Admin right users can upload different types of documents, like zip, doc, jpeg, pdf, csv, etc. Also, the admin can restrict the visibility of documents based on the selected permissions. Standard users won’t be able to upload documents but can preview or download the shared documents. In order to access and organize the documents in a logical way, view box stores the documents in folders and sub-folders. Standard users can preview and download the uploaded files. Documentation dashboard helps the client to search the files effectively because of tree structure arrangement. Documents are arranged in collapsible ways, so it is easy to access and manage the documents. The documentation library not only allows sharing of documents with standard users but also with other Admins as well. Filtering for relevant documents is so easy because of search, pagination, and nested folder structure. Also, with that, files are also managed based on languages. Also, for easy uploading of documents, it provides the ability to bulk upload. Admin at a time can upload around 10 documents, only restriction is on size of file. Each file size should be less than or equal to 100 MB. The review option is only for pdf files, so users can preview all the pdfs in the view box itself. Rest all the documents can only be downloaded. Admin users also can remove the document at any point of time. They must go to the documentation dashboard and authenticate themselves. After verification, admin users can delete the uploaded files and can also upload new files from the dashboard. On the dashboard, admin can also view all the details of the files like permission type, language, upload date, time, rights, etc. Users won’t be able to see the documentation functionality if no document is shared with them. In that case, the document section won’t be visible. While for admins, the documentation function will always be visible and accessible. To give a brief about the tree structure documentation, we have a two-level hierarchy system where on the first layer there will be folders and on the second level there will be sub-folders. While uploading documents, users will have to create a new folder or choose from the existing folder. After the sub-folders next, the user can select from the existing sub-folder of the selected folder if they are available or else create new sub-folders. After selecting or creating folders and subfolders, then admin can select the permissions, rights, and files. As mentioned earlier, users can upload 10 files at a time. After selecting the files, the documents get stored and, based on permission, rights will be visible to all the other users. Standard users will only have rights of viewing and downloading the uploaded files only if they are shared with that user. Apart from that, standard users cannot access any other functionality of the documentation library.
